Finally, outline the next steps , including information about filing a formal petition. Many taxpayers mistakenly believe that contacting the Property Appraiser initiates the Value Adjustment Board appeal process. Emphasize that they have the right to formally challenge their property's market value or exemptions. Provide necessary contact information and deadlines to do so. Inform customers that informal reviews might not be completed before the petition filing deadline. In such cases, advise them to file a petition as a precautionary measure.

Throughout the process, be empathetic – put yourself in their shoes and show you understand the situation is difficult. Actively listen and acknowledge their feelings. Maintain professionalism always – stay calm, be polite and respectful. While this advice offers general guidance, it should complement your office's specific policies, not supersede. By implementing these strategies, you can effectively de-escalate tense situations, find resolutions, and potentially improve customer satisfaction. Sage

At this point, the situation may be resolved; but if not, it's time to steer the conversation towards solutions. Gather any additional information needed to pinpoint the exact issue. But remember – you do not need to solve the problem right then and there. When possible, clearly communicate potential outcomes. For instance, if a substantial difference exists between the market and assessed values due to a homestead exemption, inform the customer that a revised market value might not necessarily result in a changed assessed value or property taxes. Collect essential contact information and inquire about the customer's preferred method of communication: email or phone. Make the customer feel valued by offering them a choice.
